  • Overview

    The Clerical Support Specialist role is to open and distribute incoming correspondence to the appropriate person or department; expedite assigned work orders; file documents; process outgoing correspondence, and order and maintain office supplies. The primary objective of the Clerical Support Specialist position is to establish rapport and ongoing communication with all internal departments to ensure accuracy and timeliness of all processes which affect the completion of a client’s order.

    Responsibilities

    • Open and distribute incoming correspondence to the appropriate person or department.
    • Process outgoing correspondence.
    • Establish and maintain communication with departments to determine time constraints on special instruction orders.
    • Expedite assigned work orders and notify order entry of database updates.
    • Enter status into the computer system(s), document steps taken in the handling/routing of work orders.
    • Route work orders to appropriate departments in a timely manner, as defined by office procedure.
    • Order and maintain office supplies at a level to ensure against shortages.
    • Receipt and distribution of supplies to the appropriate storage location/department/ individual.

    Marginal Functions

    • Match incoming vendor invoices with work orders.
    • Match records with work orders.
    • Bind and mail completed records.
    • Assemble work orders packets.
    • Scan documents.
    • Cross-train in other areas of the office when needed.

    Qualifications

    Educational Requirements

    • High school graduate and/or GED equivalent. Some college desirable but not required.

    Experience Requirements

    • Prior work experience in an office setting preferably in a medical, legal, or an insurance claims office.

    Skills and Abilities

    • Proficiency at typing; preferred level of at least 45 wpm.
    • Good understanding of the organization’s goals and objectives.
    • Highly self-motivated and directed.
    • Ability to adapt to changes and absorb new ideas and concepts quickly.
    • Good analytical and problem-solving abilities.
    • Ability to effectively prioritize and execute tasks in a high-pressure environment.
    • Good telephone etiquette, written, interpersonal and organizational skills.
    • Has a rudimentary understanding of the internal processes of medical facilities and med-legal terminology.
    • Bilingual Spanish/English speaking a plus.

     

    Machines, Tools, Equipment and Work Aids

    • Telephone system, computer, fax machine, hole puncher, Shear Tech Bate Number Machine, copiers/scanners and/other office equipment.
